  1. Attach back up to the budget transfers/amendments

    When entering budget transfers or amendments, it would be helpful to be able to attach documents. This would be helpful because it would allow other users to be able to look at the attachment to determine why the amendment or transfer was done.

  2. When entering invoices to be paid in AP, there should be a field for the invoice date.

    Invoices are posted to be paid from a PO, there are all sorts of dates none seem to take into consideration the invoice date. There is the posting date, PO date, paid date - not the actual invoice date. When a vendor calls asking if payment has been made. They reference an invoice date and number. Now we have GIGO - Garbage in, garbage out. These are permanent records and we need to be able to reference what is in the system. Important info. is date of invoice, vendor, what is purchased, paid date and check number. Thank you.

  3. Track the State Contract Type in Vendor Maint and default this info on the REQ or PO

    The box for State contract should be a drop down to allow for the input of County Co-Op or County Bid contract numbers. These too should auto populate.

  4. Default encumbrance date/charge account based on Req/PO Prefix

    When entering a PO or Requisition line item, the system should default the encumbrance date and charge account year to the prefix year specified on the PO or Req #.

  5. Insurance/COI Storage

    A place to store Insurance for vendors and contractors. Be able to run a report based on insurance and the insurance expiration date from vendors or contracts. We would like to run a form letter to email or mail to the vendor about getting a certificate of Insurance to the agency.

  6. Add the ability to run GL, revenue or expenditure reports by account segment.

    This is currently available through your account grouping option. But this is very time consuming and leaves too much room for error. We need the ability to capture the County Wide total for single GL segments such as: cash, accounts payable, overtime expense, insurance expense, pension expense, etc. I've attached a sample from our old system.

  7. Print A/P checks in alphabetical order by vendor name

    Be able to print A/P checks from a check batch in alphabetical order by vendor name.

    Ours is currently printing checks by vendor ID.

  8. MICR Checks- Detect in MICR Font is Installed First Prior to Printing

    When print AP or Paychecks, validate to see if the computer has the MICR13B.ttf font installed prior to printing any checks. If new computers are set up and this is missed, sometimes the user does not pick it up prior to updating their checks.

  9. Budget Prep Workheet need to calculate percentage change when using Detail worksheets.

    The Budget Prep worksheet needs to calculate the percentage change when using the Detail worksheets. Currently the percentage is only shown (calculated) if you key the requested amount, admin recommended amount and adopted budget amount.

  11. Would like to take advantage of payment discount options

    When generating requisitions I would like to see a field to input early payment discounts (i.e. 1% 10 net 30) and affect associated invoices. this would be helpful on all type of purchase orders including blankets.

  12. Budget prep entry screens need to show TOTALS as currently saved.

    Department users are not necessarily savvy enough to export their entry to Excel to check their totals against their allocated amounts. It would be most helpful for them to see the total of their entries in each column as currently saved.

  13. When updating a payment batch from Tax, create in Finance a separate debit lines for Cash and Cheks in the bank ledger

    Currently all batches updated from Payment Window (Tax, Utility) interface with Finance by generating 2 lines on the bank ledger, one for Cash & Checks, the other one for Credits. This made sense when we used to deposit checks and cash with a deposit slip and they would go together to the bank. However, we are now sending checks remotely to the bank, and cash is still being sent with deposit slip. Therefore, the bank statement shows a transaction for checks (remote deposit), another one for cash (deposit), but the general ledger still shows one line for both. This makes…

  16. Blanket Controls for a PO should all show up at the start regardless of when they were set up.

    Currently when a blanket control account is set up for a blanket PO, it is sequential. Sometimes a PO may have over 100 lines and it is hard to locate the blanket controls. It would be a nice feature if all blanket controls, regardless of when they were set up, would automatically be at the beginning of the PO.

    I love Purchase Order Quick Entry. but I hate that after I accidentally close it I can't go back in it and keep going especially with po's that have a million line items.

  19. System generated PDF attached when cutting checks

    Each time a check is cut in the system, I would like for it to create a system generated PDF and attach it to either the vendor file or PO. This will make it easier during audit time to go back and pull copies of those checks and invoices, rather than manually pull the paper files.
