    When receiving an a PO there is an option to enter an Invoice number. The invoice number by default will be updated to all lines on the PO. If multiple Invoice numbers need to be referenced on a single PO the user should enter each Invoice number on the line item. Thank you for your suggestion. Sincerely, EA Support Team

  2. Two levels of search criteria in the vendor activity.

    Having the need to search vendor activity but wanting to limit that search to a particular budget account.

    Thanks Melinda. How about unlimited search criteria? If you print the Vendor Activity report to the screen you can select the “SEARCH” action button and find what your looking for. You can also print a specific page of the report or range of pages. Thanks Edmund’s Support

  3. Allow a comments field on a check batch.

    sometimes you would like to send a message to ALL your vendors - would be nice to have a field to do that in. ie) change of address.

  4. Add the Ability to roll all budget entries at one time by level and add a revenue over expenditure net total to the worksheet.

    Ability to roll all entries in a budget level such as requested to the next level, recommended. Then we only have to touch the accounts that have changed instead of having to touch every account.
    Also..PLEASE add a total line to the budget worksheet that will calculate the difference between revenues and expenditures.

    Would like to have option as to whether open PO balances should be carried over to the new budget or not when doing the end of year close.

  7. PO Status Report - Add a new PO Type option

    When printing a P.O. Status Report add a new P.O. Type Option that would result in all P.O.'s that are not a blanket or P card or contract. In other words "Blank" or "Regular". This would allow a review to identify old "regular" P.O.'s that are open and need to be to be completed or revisited. We find alot of P.O.'s in process that either goods have not been received or documentation has not been obtained. This would not include any blanket, p card or contract P.O.'s that are open as these items are ongoing P.O.'s.

  8. Print "BLANKET" on purchase orders entered as blankets

    Would it be possible to have the word "BLANKET" print on any purchase order that is a blanket? "CONTRACT" appears on contract purchase orders. That way I would know which po's were blankets when I print them out without having to look in the system.

  9. Add multi-year analysis to Income Statements similar to the Balance Sheet Comparison.

    Currently we can print a multi-year comparison for Balance Sheets. Make this feature available for the Income Statement also. This should be very helpful at budge time, so we can see what the revenue and expense stream looks like historically.

    After further consideration your suggestion was declined. Running the statement of revenue and expenditure report will allow you to view “Budget & Actual” for up to 5 years, This can not be done with the Income Statement because revenues and expense are eventually closed. The statement of revenues and expenditures is a great supplement to the Income statement and is very useful in determining your financial position for any given period or year.   10. Provide for the ability to schedule monthly payments, such as to schools, county, debt service through a cycle batch.

    Provide the ability to schedule through cycles payments that are scheduled in the future such as school levy, county levy, debt service, etc.

  11. Quote # & Attention fields

    add 2 new fields for Quote # & Attention: - that would print out on the Purchase Order for the vendor to see.

  12. We need the ability to restrict access to system to more than one individual during End of Year Routine or as we see fit.

    Can we please have the ability to lock all users out of the system except finance and or other designated users? In preparing for the end of year routine individuals within finance understand what entries do not impact the End of Year routine but others may not.

    Thank you for the suggestion. There is currently a way to lock users out of a particular module, while leaving users the ability to have access to another module that is not locked. This can be found off System Utilities > Lock Users Access. Please contact support with any additional questions.

  13. Making scanned documents permanently attached

    After scanning a document you can save it as a PDF. But it also gives you the option to delete the file. I would like there to be an option to save it permamently so it cannot be deleted. (or even better would be to give it a date to delete) I would like to save an electronic file and dispose of the paper copy but if there is an option to delete the electronic file its to risky to throw out the paper file.

    Need more information. You can select the detail button from vendor maintenance and select “All POs with Void Lines”. The PO inquiry option by vendor also gives a clear picture of any voided lines. Void checks can be reported using the check register ap report.

  15. Ability to CLOSE or INACTIVATE a Tracking ID

    Would be greatly appreciated if we were able to "inactivate" a tracking ID, once the project has been completed. As it is now, the Tracking ID list goes on indefinately. Also add the option in the reports "active/inactive".

  17. Add an Option To Print a Batch of PO's by vendor or dept.

    Currently PO's when printed can only be printed in the PO sequence order. This is great for when you are printing a copy just to file away or something to that affect. Unfortunately there are other times where you may need to sort the PO's by department or vendor and if you could print by these options it would save time and valuable resources for a department. This should be a simple fix as it's in essence a sort option.

  18. Show "Entered By" on purchase order

    It would be much easier, not only for AP, but for the vendor, to know WHO entered the order. It could fit under the vendor box.

    The PO detail will show which user entered the PO. The user who entered the requisition/approvals will only be able to be seen from the requisition level. The requisition number is referenced on the PO for you to easily pull up the requisition.

  19. Mass Copy of GL and Expenditure Account IDs.

    I want to create a new department in Finance and it is a 2 step process. 1. Create GL Acct #. and 2. Create Expenditure Acct #. To create all the acct numbers for a new department is very time consuming. There should be an easy way to duplicate or mass copy acct numbers.

    Below is how another software handles what I am asking for...

    Thank you for your suggestion. The easiest way to add new sub ledger type accounts is to pull up an existing account within that fund prior to clicking add. The original account will be used a template when linking the account to the general ledger. There shouldn’t be too many accounts that need to be changed. Please contact support if you have any additional questions.

  20. ESCROW

    Right now you can't add a project to a requisition only to a po. It would be nice to add the project to a requisition.
